Team work leading up to and including the day of the event

On the 24th February, after a lot of preporation and hard work, the play 'Space monkeys' was finally performed by the performing arts students at Abingdon and witney college. In order to have gained success there has been lots of planning and organising involved. Unfortunatley i could not make it on the day of the event due to being ill. However i was very much included in helping prepare for the play and took a role as a leader in most tasks. In order to make people aware of the play we had to promote it by making and sticking posters around college, i felt i took a big part in this task as i designed the poster on the computer and came up with most of the locations where they would be visible. Another way we had to market our play was to email companies who we thought would be interested in sponsering us to help financially with the play. I also felt i contributed well within this as i emailed 6 organisations around the Milton park area. Our objectives for the day of the play was to organise and run a successful performance, and to work well as a team. We managed to achieve both aims, i know this because after talking to my fellow team members, they informed me that on the day of the performance everything came together successfully with out any major issues. I also know we worked well as a team because we got all the tasks completed and on time.

Xtranormal

As part of an assignment for unit 19 developing teams we had to create a mini movie clip using the software program Xtranormal. It is a webite that allows you to generate different animated movie vidoes including different backgrounds, actors, voices, sounds actions/movements etc. To show that we as business students understand the realisation of a conflict and resolution sitatuion, we had to create our own sceanario.
This is an example of what the movie making site lookes like. I have chosen a celebrity theme just to make it more exiting, my movie contains the scene breing set in a chat show room with a camera as i thought it was relevent as the scene is about a play. My movie consists of a directer asking the woman (a performing arts student) if she would be part of acting out the script, she first of all say's no as she doesnt feel comfortable around the business students. After a few moments of persausion from the director the woman then agrees to taking part and starts to realise that perhaps it would be a good idea.

Emailing businesses

Today we also emailed businesses to try and encourage them to sponser us to help us with the costs of running the event. My role was to email local businesses within the Milton Park area being with 'D'. The businesses i reached out to was Design Integration Ltd, Doctors.net.uk Ltd and Dramco. We are now waiting on replies as to whether the companies will sponsor us or not, none of them have contacted back to us yet however we hope they do as it would be a great help to manage the budget of the performance.

Recording the script

After writing our script in groups to help build team confidence and script writing experiance, we finally recorded the conflict resolution scenario using a mini recorder. The objectives of this task was to complete it in a sensible and ordily manor, to get the task done in a professional way and of good sandard and to also proove to our college tutors that we can pull this off successfully and hopefully make them proud. The actors consisted of me as narrator, Armna as an office lady, Mia (the performing arts students) as another office lady, Abi as the manager and Kiran recorded it. However i did feel as though their may be a little bit of conflict between the group as Mia being a performing arts students and Armna being a very lively character, which isn't a bad thing, may cause a problem due to the fact myself and Abi take situations seriously and wanted achieve the task on time and with good performance. Over all our group did manage to achieve our objectives. It was very successful as all of us took it very professionally and sensibly, we all wanted to get the task done in a mature manor without laughing or being silly. The recording is easily understood and very clean cut. I think we all worked well together and turned out a great success.

Informing the public

Enable to raise awareness about the play 'spacemonkey', in groups we made posters containing information about the play e.g. dates times theme etc. Today we found out who's poster won, the winning poster was the one that is going to be on view around college. Therefore each group had to walk around college and put posters up in areas that are most neccessary and easiest to be visually seen. My group and i put the following posters up in the girls toilets, entrance of the loaf, on a bilboard in the engineering block and the receptionist staff room. We plotted posters up in these current places because we thought they were the best places for people to see them on a daily basis.
This is the final winning poster that is now going to help promote the play and hopefully encourage our target audience to come along.

Marketing plan

Today my group and i made a marketing plan to organise the arrangements of marketing. This is what we have planned for promotion technique in order to carry out a successfull play.

In order to raise awareness to the public about our play ‘Space monkey’ we will need to include promotional strategies. For example we are going to create posters and distribute them around college and the surrounding area. The posters need to be eye catching and child friendly as the play is aimed at young children and families. An important factor to take into consideration is how much the posters are going to cost to make e.g. ink and how many is needed to be printed. In order to increase awareness our group think we will need to print 100 posters. We also need to think about where to put them for people to be able to see them clearly for example around town including shop windows after asking permission from the shop owner , bill boards for the locals to see easily, around college e.g. the loaf, the shop, reception, the link, notice boards and in classrooms. Another way to encourage families to come to our event is by putting up posters around local primary schools. This will raise awareness to the children and their parents/guardians.
An additional way to raise awareness to the public about our business event is by promoting it on the college website, it is visible to college members and the community. In order for this to happen we will have to talk to the IT department to ask them nicely if they would be able to add in information about our advertisement. This is a good marketing technique as it is free and non time consuming. A different way to raise notice to the college is by announcing the information about the play on the college radio; we think this would be effective because the radio is played every break time in the loaf. The loaf is the main place where students and teachers sit to eat lunch or to have a break during lessons. People are often sat in there due to different college time tables.
Another way we thought about raising awareness to the public is by generating flyers and handing them out around college and in the Abingdon town. This would allow us to not only have information written on the flyer but also to explain more about the play in person to. However after thinking carefully about this we decided that perhaps that might not be a very good idea as the majority of people tend to not pay much attention to flyers and little bits of paper and often chuck them away as a natural response.
We also know that is it important to add in the correct logos when promoting advertisements, other wise people won’t know which organisation has arranged the event. Two important logos to include in the posters is the TOCA (the Oxfordshire creative academy) and the Abingdon and Witney college logo.

Introduction and scenario

As a business student at Abingdon and Witney College my group and I have been set an assignment to manage a business event. The event is going to be a play performed by the performing arts students; the name of the play is Space monkey. The brief was given to us by the performing arts department:
“A class of children are enjoying story-time at school.  Their teacher has to leave and tells them not to touch anything.  The room is full of boxes and craft materials.  The children can’t keep still.  They find a box which is full of red noses.  Anything is now possible!  They produce lots of stars and create a beautiful night sky.  In one of the boxes they find a spacemonkey!  The monkey is frightened, sad and lost. They make a space-ship and fly through space in search of its home……  On their journey they get sucked into a black hole, lost in a maze, confronted by the Blastmonsters…. and when they return they get told off! A strange mixture of ET, Qpootle5, Planet of the Apes and Peter Pan told with puppetry and clowning, songs and dance.”
The play will be taking place at Abingdon and Witney College in the performance theatre; this is because it’s an established venue which already contains a stage and accessible seating. The performance will be held on the 25th February 2012. This will be a Saturday, the college have had permission from Fiona, the Head at Abingdon and Witney college that it is confirmed to be allowed. There will be 2 performances on that day, one at 12.00pm and one at 2.30pm. The cost would be £30 per hour for 11am to 4pm (for security purposes they need to open & close, allowing an extra hour at beginning and end). This will therefore be £210.
